The Project Administrator is responsible for the administration of all reports in the FDP 2014 project. It is the responsibility of the Project Administrator (Reporting) to ensure that a reporting calendar is established and maintained based on a stakeholder mapping, and that all reports are distributed and received on time by identified recipients.
The Project Administrator will work closely with the Project Controls team to ensure reports are structured as per stakeholder requirements and the report content review cycle is established and followed

Key Responsibilities
•Support in the development of the master stakeholder mapping for reports;
•Actively maintain the report stakeholder map and ensure requirements are up to date and documented at all times;
•Be the custodian of the reporting calendar in the project and ensure the calendar is available to the Integrated Project Team (IPT);
•In close collaboration with the Project Controls team ensure reports created in PIMS match the content and structure requirements as per the outcome of the stakeholder mapping;
•Work in PIMS as required to assist and administer reports in close collaboration with the project controls team;
•Structure and prepare reports as required in PIMS in close collaboration with the project controls team;
•Prepare advanced reports and support in the development of reports from SAP and BI as required;
•Maintain records of project reports and ensure reports are easily retrievable for members of the IPT;
•Support in setting up the administration of reports at 3rd party offices as required;
•Actively participate in meetings concerning reporting requirements to capture specific needs of the IPT;
•Initiate reports requested by members of the IPT for specific disciplines or otherwise none standard reports;
•Build and maintain relationships with members of the IPT and external parties as required;
•Suggest and strive for continuously improved report structures and methods of conveying project information;
•Participate and administer internal projects related to project reporting requirements.
•Preparation of project reports and presentation material as required by the project management and section leaders.
Who we are looking for
Candidate with
•An excellent level of high school education is required, preferably degree qualified in a related subject.
•Incumbent should be an experienced project administrator and have minimum 10 years total work experience with 5 years in Oil and Gas projects within a similar role;
•Extensive experience in the preparation of reports using various IT tools. Requirements include MS Word, MS Excel SAP and BI reports. Desired thorough knowledge in the use of PIMS or similar tool;
•Expert use of MS PowerPoint and experience in the preparation of high quality presentations and reports;
•Incumbent must have experience in and committed to ‘our safety culture – Incident free’ or other similar safety culture initiatives within an oil and gas environment;
•Should know SAP and BI. Also should have knowledge of PIMS or similiar project information tool.
•Experience in working with all levels of a large project organisation.
•Strong organizational skills and have demonstrated structured working approach;
•Trustworthy and be capable of working with confidential information and commercially sensitive information;
•Excellent communication & networking skills. Incumbent should have proven ability to work across boundaries and to develop effective relationships with internal and external stakeholders;
•Strong interpersonal skills, and the proven ability to work with others in a multi-national environment and work locations;
•Comfortable in an Integrated Project Team: strong belief in collaboration;
•Fluent in both written and spoken English;
•Demonstrated skills in disseminating and compiling information effectively into structured and presentable formats.
